ii. Information that you provide by filling in forms on our website, such as when you have requested a quotation, filled in our booking form or logged into our Online Client Area, this may include; Your Name | Email Address | Phone Number | Home Address | Event Address | Business Address
iii. We also store information provided to us when you communicate with us for any reason regarding your event/project such as job description, this is not considered personal data but we do keep it for reference.
iiii. On certain jobs, we will also collect information of children under the age of 16, this will only be the child’s name to help process the images taken. This information will be stored on a private password protected gallery for use by the client and not shared with any third parties. Consent Forms will be issued to parents or legal guardians of those under the age of 16.
Storing Your Personal Data
We will take all reasonable steps to make sure that your data is treated securely and in agreement with this Privacy Policy and GDPR Guidelines.
All Data collected during your enquiry/booking is stored within JotForm then transferred to our online calendar management system both of which are fully password protected, if you book a service with us your information is also added to our online invoice system this is also password protected, if we store any images from your shoot online accessing the gallery will require your name & email address this will then be stored within our Zenfolio account, this is to help prevent unauthorised access the gallery, only employees of ER Photography & ER Event Photography have access to this information. Your email address will be used to contact you and other information may be gathered via email, booking forms and invoice are also stored on our computer system, we use iMac’s which are password protected and traceable via “Find My iMac” should they be stolen, our premises also has CCTV for added security, every measure has been taken to make sure any information we hold is as secure as we can.
None of your information is shared with any 3rd party companies unless items are being delivered directly to your home or workplace by a 3rd party company. All such information is kept for the lifetime of our business, keeping this data helps us keep providing our services after the event, our images galleries have 24-hour access and it’s a way of storing the images safely.
The transmission of information via the internet is not completely secure and therefore we cannot guarantee the security of data sent to us electronically and transmission of such data is therefore entirely at your own risk. Where we have given you (or where you have chosen) a password so that you can access certain parts of our site, you are responsible for keeping this password confidential.
Use of Your Information
The information that we collect and store relating to you is primarily used to enable us to provide our services to you. In addition, we may use the information for the following purposes:
i. To provide you with the information you have requested from us, relating to our products or services.
ii. To meet our contractual commitments to you.
iii. Information is only kept so that we can keep you informed on the process of your booking and provide the aftercare needed to deliver the images.
